BoldSign now supports making signature requests from WhatsApp, bringing e-signatures to where your clients already are. For users who rarely check emails or SMS, WhatsApp delivery ensures your signature requests land in their active chats, making document signing fast and seamless. This feature blends convenience, security, and global reach for businesses, freelancers, and startups alike.
In this blog, we’ll explore why WhatsApp delivery is a game-changer, guide you through using it, and share tips to streamline your signing process.
Why WhatsApp delivery is a big deal
WhatsApp isn’t just a messaging app; it’s a global lifeline for over 2 billion users. WhatsApp delivery in BoldSign takes advantage of this, letting you send secure signing links directly to recipients’ chats. Here’s why it’s stealing the show:
- Using WhatsApp delivery skips email clutter. WhatsApp notifications hit recipients’ phones immediately, boosting response rates.
- You can send notifications in other languages like French, Spanish, or Portuguese, making signers feel right at home.
- It uses authentication protocols (like SMS-based signing) to keep your documents safe and legally binding.
- You can get notifications for signature requests, expirations, manual reminders, and completions—all via WhatsApp.
How to get started with WhatsApp delivery in BoldSign
To jump into WhatsApp delivery, you’ll need:
- A BoldSign Business Plan (or higher): A Business Plan is needed to use this feature. It only costs $15/month, making it easy to unlock WhatsApp delivery for your signature requests.
- WhatsApp notification add-on: Each notification costs $0.10, a small price for instant delivery.
- Recipient’s phone number: Signers need an active WhatsApp account tied to a valid mobile number with the correct country code.
If you’re not on a compatible plan, the BoldSign setup process makes upgrading simple, so you can start sending requests in minutes.
How to send signature requests via WhatsApp
Ready to make signing as easy as a chat? Here’s how to set up and use WhatsApp delivery with BoldSign. We’ve broken it down into clear steps with tips to ensure success.
Step 1: Activate WhatsApp delivery
First, you need to enable this feature in your BoldSign account. Here’s how:
1. Go to Settings in your BoldSign dashboard. Select Integration.

2. Select WhatsApp.
3. Select Enable. If you’re on a free or lower-tier plan, a prompt will guide you to upgrade to a Business or higher-tier plan.

4. If needed, follow the upgrade prompts to switch plans. It’s quick, and you’ll be back in action fast.

5. Review the details and select Enable to turn on WhatsApp delivery.
6. Changed your mind? Return to the WhatsApp card and select Disable to pause the feature.

Check your notification budget. Each WhatsApp message costs $0.10, but if you go over, BoldSign will still send notifications for existing documents and adjust the credits in your next billing cycle.
Step 2: Send your first WhatsApp signature request
Now, let’s get that document signed! Follow these steps:
1. From the Dashboard, select Create New > Create New Document.

2. On the Prepare Document page, select Delivery Options, then WhatsApp. Note that the default option is email.

3. Enter the recipient’s name and phone number. Make sure you select the correct country code (+44 for the UK or +55 for Brazil, for example) to avoid delivery hiccups.

4. Make it personal by selecting the signer’s preferred language from the Language dropdown.

5. Prep your document by adding signature fields, initials, or other tags as needed.
6. Double-check everything and select Send. Your recipient will get a WhatsApp message with a secure link to sign in to the BoldSign app.
Step 3: Keep things moving with notifications
WhatsApp delivery keeps everyone on the same page with notifications for:
- Signature requests: Sends you the initial link to sign.
- Expiration warnings: Alerts you if the document’s deadline is approaching.
- Deletion warnings: Gives notice if the document is set to be deleted.
- Manual reminders: Sends your manual reminders to prompt action.
- Completion notices: Confirms when the document is signed.
To send a manual reminder:
- Open the document in your dashboard.
- Choose the recipient and select Send Reminder via WhatsApp, which will send a fresh link for them to pick up where they left off.
Note: Automatic reminders aren’t supported for WhatsApp, so use manual reminders to keep the process moving.
Step 4: Respecting signer preferences
Signers can control their WhatsApp notifications by:
- Opting out: When users reply with STOP or UNSUBSCRIBE, this pauses all WhatsApp messages from BoldSign.
- Opting in: To restart notifications, they can reply with START or SUBSCRIBE.
WhatsApp is for outgoing notifications only. Replies aren’t monitored, so signers should reach out via email or phone for questions.

Things to know: limitations and workarounds
WhatsApp delivery is powerful, but it has a few limitations:
- Standalone mode: WhatsApp delivery can’t be mixed with email or SMS delivery.
- Signer-only notifications: CC recipients don’t get WhatsApp messages.
- No auto-reminders: We suggest you use manual reminders instead.
- No group signing: This option is best for individual signers, not groups.
- Fixed messages: Notification texts are set by BoldSign and can’t be tweaked.
- No reassignment: Signers can’t pass the document to someone else.
- Authentication limit: Email OTP isn’t supported for WhatsApp deliveries.
